DioLaz Canada On-Site Training Policy for Laser Devices

Applies To: All DioLaz Canada clients receiving on-site training for Diode Laser and CO2 Laser devices.

Purpose

DioLaz Canada is committed to ensuring that clients can operate their laser devices safely and confidently from day one. This policy outlines the structure and standards of our on-site training sessions for Diode Laser and CO2 Laser devices. The goal is to provide safe and consistent equipment onboarding, reinforcing proper usage and safety protocols so that every operator is well-prepared to use the technology effectively and responsibly.

Scope of Training

Our on-site training sessions cover all fundamental aspects of operating DioLaz laser equipment. Each training session includes:

  • Basic Machine Setup and Shutdown: Step-by-step instruction on setting up the laser device, including initial assembly (if required) and safe power-on/power-off procedures for the unit and emergency stop functions. This ensures operators can start up and shut down the system without risk to themselves or the equipment.

  • Operating Interface & Treatment Modes: A guided overview of the device’s user interface, control panel, and available treatment modes. Trainers will demonstrate how to navigate menus, adjust settings, and select modes for various procedures, giving users a clear understanding of the machine’s functions and indicators.

  • Daily Maintenance & Cleaning: Training on routine maintenance tasks that should be performed each day before and after use, such as cleaning handpieces, checking cooling systems, and inspecting cords or connections. Emphasis is placed on keeping the machine clean and dust-free to ensure longevity and optimal performance. Operators learn proper cleaning techniques and maintenance schedules as recommended by DioLaz Canada.

  • Probe/Handpiece Handling & Replacement: Instruction on proper handling of laser handpieces and probes, including attachment/detachment methods and care techniques. This is especially important for the CO2 laser, which comes with interchangeable fractional and non-fractional handpiece tips. Trainers will demonstrate how to safely remove and replace these tips without damaging delicate components, and how to verify they are securely installed before use. Users are also shown how to recognize when a tip or probe might need servicing or replacement (e.g. after its service life).

  • Pre-Treatment Preparation: Guidance on how to prepare patients and the device for treatment. Depending on the procedure, this may include applying transparent ultrasound gel on the target skin area (commonly used with Diode lasers for cooling and better laser conduction) and/or using a topical anesthetic when appropriate to improve patient comfort. Trainers will discuss skin prepping steps (cleansing the skin, shaving hair for hair removal treatments, etc.), the use of cooling gels or coupling gel, and ensuring all safety measures (like patient eye protection) are in place prior to firing the laser.

Each of these topics is demonstrated and explained in detail by a certified DioLaz Canada training instructor. Trainees are encouraged to ask questions and practice device operations under supervision (on dummy materials or test spots, not on patients — see “Exclusions” below). By the end of the session, operators should feel confident in the core operational skills and daily upkeep of their Diode or CO2 laser device.

Exclusions

It is important to clarify what DioLaz on-site training does not include. The on-site equipment training is focused on device operation and safety, not clinical practice. As such, the following are excluded from DioLaz Canada’s training sessions:

  • No Live Patient Treatments: Trainers will not perform or supervise any hands-on treatment on actual patients during the training. The session is limited to device operation techniques (often using simulators or demonstration pads). Client staff will not practice on patients as part of this training.

  • No Clinical Protocol Instruction: The training does not cover clinical treatment protocols for various skin types, conditions, or specific medical/aesthetic cases. DioLaz training instructor will not provide medical advice on how to treat particular conditions (e.g. how to adjust for different Fitzpatrick skin types or how to treat specific lesions). Such clinical training is assumed to be part of the operator’s prior education (see Recommended Operator Qualifications).

  • No Off-Label Parameter Recommendations: Instructors will not recommend treatment settings outside of the device’s documented guidelines. They will explain the device’s parameters (energy levels, pulse durations, etc.) and how to adjust them, but will not prescribe specific settings for treating clients. Operators should adhere to the parameters and usage guidelines provided in the official user manual and their own clinical judgment. The on-site training reinforces manufacturer guidelines and safety limits, rather than providing any custom or off-label protocols.

By clearly defining these exclusions, DioLaz Canada ensures that clients understand the boundaries of the training. We focus on operational safety and proficiency, while expecting that users have or will obtain the necessary clinical knowledge separately (through medical training or certified laser courses). This approach maintains professional standards and compliance with medical regulations.

Recommended Operator Qualifications

Laser devices from DioLaz Canada must be operated by qualified professionals. We require and recommend the following for anyone who will be attending training and operating the Diode or CO2 lasers:

  • Professional Certification/Licensure: Operators should be licensed or certified practitioners in a relevant field – for example, licensed physicians, registered nurses, certified medical aestheticians, or laser technicians with an accredited certification. DioLaz equipment is intended to be used only by persons properly trained in its operation, which implies a professional background in healthcare or medical aesthetics.

  • Prior Clinical Laser Training: The on-site device training is not a substitute for clinical education in laser therapy. Personnel using DioLaz lasers should already have foundational training in laser/IPL procedures, skin anatomy, and safety practices (e.g. completion of a laser safety course or medical aesthetic program). Our trainers will teach how to use the machine, but operators are expected to understand the clinical implications of treatment (such as skin reactions, contraindications, and post-care).

  • Regulatory Compliance: It is the client’s responsibility to ensure their staff meet any local or regional requirements for operating a medical laser. DioLaz Canada’s training certificate indicates completion of equipment training, but depending on jurisdiction, additional qualifications (like a laser safety officer certificate or specific medical license) may be legally required to perform treatments. Operators must comply with all applicable laws and should check with local licensing agencies for any necessary credentials or permits.

  • Familiarity with Device Manual: We strongly advise that operators read the user manual and safety guidelines for their DioLaz laser device prior to or immediately after the training. Understanding the manual helps reinforce what is taught during training and provides reference for any operational questions. All personnel should be aware of the safety warnings and recommended operating procedures as documented by the manufacturer.

By ensuring operators have the appropriate background and qualifications, we maintain a high standard of safety and efficacy. DioLaz Canada’s policy is to train competent professionals, thereby protecting patients and helping clinics achieve optimal treatment outcomes with our devices.

Training Format and Delivery

DioLaz Canada’s training sessions are designed to be convenient and effective, delivered in a format that best suits the client’s needs:

  • On-Site Training (Standard): Our primary mode of training is in-person on-site sessions. A certified DioLaz training instructor will visit the client’s facility (clinic, medspa, or hospital) to conduct the training using the actual device that was installed. On-site training is typically scheduled immediately after installation of the laser device, so that the machine is set up and ready for hands-on learning. Training usually takes place in the treatment room or a designated area where the laser is housed, allowing for real-world positioning and setup.

  • Session Structure: An on-site training session generally starts with a brief introduction and safety briefing, then progresses through the Scope of Training topics in a logical order. The trainer will demonstrate each part and then supervise the trainees as they practice key tasks (like powering on the device, navigating the interface, etc.). Questions are addressed throughout the session. The length of training may vary based on the device and number of trainees, but clients should allocate an hour for comprehensive coverage. At the end of the session, the trainer will recap critical points and ensure all attendees are comfortable with basic operation.

  • Optional Remote Training: If an in-person visit is not feasible (due to location or scheduling constraints), DioLaz Canada can provide remote training alternatives. This may include live video conference training or interactive webinars led by a DioLaz instructor. Remote sessions will cover the same content as on-site training (often with slides, videos, and live Q&A), but the hands-on practice will be limited. Clients choosing remote training should ensure that their staff can follow along with the actual device during the call. While remote training is available, in-person training is recommended whenever possible for a tactile experience with the equipment.

  • Training Materials: During training, DioLaz will provide any necessary instructional materials. This may include user manuals, quick-reference guides, checklists, or logbooks for maintenance. After the session, trainees may receive a proof of training (certificate or email confirmation) documenting that they have completed the manufacturer’s device training. This documentation can be kept for the clinic’s records or for insurance purposes if needed.

All training sessions, whether on-site or remote, are conducted by experienced professionals who are knowledgeable about DioLaz devices and laser safety. We strive to accommodate the client’s scheduling needs and can train multiple staff members at once (as long as they meet the Recommended Operator Qualifications above). Scheduling of on-site training is coordinated when purchasing the device – typically, our team will reach out to arrange a suitable date shortly after the device delivery is confirmed.

Post-Training Support

Our commitment to clients extends beyond the initial training session. DioLaz Canada prides itself on providing ongoing support to ensure long-term success with our laser devices:

  • Helpdesk and Technical Support: After training, if clients have any questions about operating the device, adjusting settings, or encounter any issues, they are encouraged to contact DioLaz Canada’s support at Education@diolaz.com. This can be done via email or phone through our customer support hotline. We have knowledgeable technical staff and clinical specialists who can address operational queries, troubleshoot minor problems, or clarify device functions. Prompt assistance is a priority – most inquiries receive a response within one business day, if not sooner. Clients can also consult their dedicated DioLaz sales or support representative for personalized help.

  • Follow-Up and Refreshers: DioLaz Canada may conduct a follow-up call or visit after a few weeks to ensure everything is running smoothly. If needed, additional on-site visits or remote refresher training can be arranged (for example, if a clinic hires new staff who need device training, or if an operator wants a deeper review of advanced features). We also periodically update clients on any new device software updates or best practices.

  • Resource Library: Clients are given access to our resource materials, which include the device user manuals, quick-start guides, maintenance checklists, and safety protocols. These resources serve as references after the training. We also provide tips for common FAQs – for instance, how to clean the laser handpiece properly, how to replace a consumable part, or how to perform a basic troubleshooting step. Keeping these references handy will assist operators in day-to-day use.

  • Warranty and Service Support: In the event of any technical malfunction or if the device requires servicing, our support team will guide the client through the next steps. DioLaz devices come with a warranty, and any service or repair needs are handled by authorized technicians. While this falls under technical support rather than training, it’s part of our comprehensive post-training customer care. Clients should not attempt unauthorized repairs; instead, they should reach out to DioLaz for guidance, as noted in the user manual: “If you have questions or issues, please consult your DioLaz Canada Inc representative.”
